Site visit management for builders: Every site visit, booked, done and proved.
A visit is booked against its lead and lands on the host’s phone. On site he marks it done with a photo and his location, and the CRM tells a first visit from a revisit, so the number your sales head reads is real.
We use these details only to set up your trial and call you about it.

01/05How it works
Step by step, as the CRM does it.
- 01
Booked against the lead
A site visit (the buyer comes to the project) or an outbound meeting (your agent goes to the buyer), with the project, the host and the time. A second visit for the same host within 30 minutes is refused.
- 02
On the host’s phone at once
The host gets an in-app notification and a push on his phone the moment the visit is booked.
- 03
Walk-ins at the front desk
The receptionist looks up the number: a new buyer is logged as a walk-in visit, a returning one as a revisit, and a second tap the same day never makes a duplicate.
- 04
Done, with proof
On site the host marks the visit done with a photo and his live location, and the end time is stamped by itself.
- 05
What the buyer said
Switch on the visit outcome form and a visit closes only with the tower, configuration, budget, funding, temperature, timeline, quoted price, objections and result.
- 06
The next step books itself
A finished visit hands the lead to a closing manager with a task to close the client the next day, and a channel partner feedback task two days later.
02/05Who does what
Every desk, its own part.
The host
A sales executive or closing manager: his visits on his phone, each marked done on site, the outcome filled in.
The receptionist
One screen, the front desk: look up the number, log the walk-in. Never the whole client book.
The sales head
Visits done, split into first visits, revisits and cross visits, with the result of each, no-shows and final negotiations, for any team and dates.
The field manager
The team’s last known location on the field map, from the phones they already carry.
03/05Not yet
What it does not do yet.
Said plainly, so nobody finds out after the switch.
Reminders to the buyer before a visit are not sent yet. The host has the visit on his phone from the moment it is booked, and one tap opens WhatsApp to the buyer from the lead.
The location is recorded, not checked against the project’s map: there is no geofence.
No-shows are marked by the team from the overdue list, not by themselves.

05/05Straight answers
Questions about site visits.
Can the CRM tell a first visit from a revisit?
Yes: first, revisit or cross visit.
Yes. A visit on a later day is a revisit, and another project shown on the same day is a cross visit, which is never counted again as a visit done. When someone presses Revisit or Cross visit, that choice wins over the date rule.
How do we know a visit really happened?
A photo and the host’s location, on site.
The host marks the visit done on site with a photo and his live location, and the end time is stamped by itself. Managers also see the field team’s last known location on the field map.
Does the buyer get a reminder before the visit?
Not from the CRM yet.
Not yet: buyer reminders are scheduled in the CRM but not sent. The host gets the visit on his phone when it is booked, and one tap opens WhatsApp to the buyer from the lead.
What happens after the visit?
A closing task the next day.
The lead moves to a closing manager with a task to close the client the next day, plus a channel partner feedback task two days later. With the outcome form switched on, a visit cannot be closed without the buyer’s budget, timeline, objections and result.
Not on the list? Ask us the awkward version — we would rather lose a deal on the call than on the third invoice.
